Executive Administrative Support – Provide executive-level support.

  • Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries;  
  • Maintains executive’s appointment schedule by planning and scheduling meetings, small conferences, and teleconferences; 
  • Preparing Travel Orders and Vouchers  
  • Processing Cables 
  • Entering time and attendance for civil service and foreign service officials; 
  • Completing other secretarial support, as requested by higher-level officials; 
  • Compile, edits, and enters ePerformance documents into the HR Database. 
  • Preparing taxi vouchers; 
  • Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics. 
  • Conserves executive’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications. 
  • Maintains customer confidence and protects operations by keeping information confidential. 
  • Prepares reports by collecting and analyzing information. 
  • Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions. 

Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.  

 

Program Coordinator- Provides program coordination services. 

  • Maintains liaison with operations experts in functional area; works with financial section to analyze departmental expenditures in comparison with departmental budget to determine if proper expenditures are made in line with budgetary object codes. 
  • Gather/analyze requirements (macro & micro) to perform facility analysis validate capacity and assess electrical/mechanical requirements. 
  • Create workstation typicals, furniture plan, and coordinate office addressing.  Evaluate the reuse of existing furniture vs. new. 
  • Coordinate with vendors to review workstation typicals, space plan, and proposed finish/color palettes with the client, architect, project team, etc. 
  • Prepare/finalize installation documents. 
  • Obtain final approval of furniture plans according to 100% design drawings.   
  • Prepare statement of work, proposals and coordinate with the acquisitions office for purchase orders for furniture and finishes. 
  • Coordinate phasing with move management team. 
  • Plan study of work problems and procedures, such as organizational change, communications, information flow, integrated production methods, inventory control, or cost analysis. 
  • Manage flooring, furniture, and signage installation.  
  • Coordinate with construction and/or demolition teams.  

Follow through on project punch list items, invoicing and document control.
